What handing your books to an outside team looks like, month to month. 2 minutes.

What outsourced bookkeeping is

Outsourced bookkeeping means an outside team owns the day-to-day books instead of an employee or freelancer. Stronghold's outsourced accounting and bookkeeping services cover categorizing, reconciling, closing, and reporting; unlike basic bookkeeping outsourcing services, the work includes team backup and CPA analysis.

When people usually call us

The business has grown, and the bookkeeper who kept up when revenue was $600k cannot keep up at the size you are now.
You are the bookkeeper, and it is the thing you do at 11pm on a Sunday.
You need financials for a lender or a landlord and cannot produce them quickly.
You are filing an extension again because the year-end package was not ready.
The books are technically current but you do not trust the numbers in them.
Your bookkeeper left and nobody has touched the file in six weeks.

If more than one of those is true, cleanup comes before ongoing work. That is normal.

What’s included

Weekly categorizationWeekly transaction categorization, so the file is current rather than reconstructed at month end
ReconciliationBank, credit card and loan account reconciliation
Monthly statementsMonthly P&L and balance sheet, with a short written note on anything unusual
Receivables and payablesAR and AP tracking
A named contactA named point of contact who knows your business, not a ticket queue
CPA analysisCPA analysis before your numbers are released
Year-end close packageHanded to your tax preparer

Virtual and outsourced mean the same thing here. Online bookkeeping services, virtual accounting services, remote accounting services: these are all descriptions of the same arrangement, and the industry has never settled on one name for it. All work is done remotely, and clients near Tampa or Lake Mary can meet in person when it helps.

How it works

STEP 1 · DAY 0Discovery callWhat the business does, what shape the books are in, what you need out of them.
STEP 2 · DAY 1–2File reviewWe go into your accounting file and assess it. You get a written summary either way.
STEP 3 · WEEK 1TransitionWe take over the file, set up access, and agree a monthly calendar.
STEP 4 · MONTH 1First closeFinancial statements are delivered by the 10th business day of the following month.
STEP 5 · MONTHLYOngoingSame cycle every month.

We require multi-factor authentication across core systems, limit access by job responsibility, and work inside a secured remote-desktop environment instead of storing client financial data on individual computers. We use individual credentials wherever possible, request read-only bank access when available, and follow least-privilege access throughout the engagement.

Common questions

Outsourced bookkeeping questions

How much does outsourced bookkeeping cost?

Pricing is custom and flat-rate. The quote reflects company size, industry, headcount, bank and credit-card accounts, locations, entity count, transaction volume, and any cleanup required. See the pricing page.

Is virtual bookkeeping the same as outsourced bookkeeping?

Yes, in practice. “Virtual” describes how the work is delivered, “outsourced” describes who does it. Both mean an outside team runs your books remotely. Outsourcing accounting and bookkeeping services together, rather than splitting them between two providers, is what removes the reconciliation gap most businesses discover at year end.

Do you offer online bookkeeping services for small business specifically?

Yes. Small businesses are most of what we do. Fractional accounting services and fractional bookkeeping services are also available where a business needs senior input on a part-time basis rather than a full engagement.

What should I look for in an outsourced bookkeeping company?

Ask who analyzes the work and what happens when the person assigned to you is away. Most firms that outsource bookkeeping services run one bookkeeper per client with no review layer, which is fine until it is not. Compare outsourced bookkeeping firms by asking who reviews the work and who covers the account when the assigned bookkeeper is away.

Do you do outsourced bookkeeping for CPAs and other firms?

Yes, under your own brand. See white-label bookkeeping for CPA firms.

Is my financial data safe with an outside firm?

We require multi-factor authentication across core systems, limit access by job responsibility, and work inside a secured remote-desktop environment instead of storing client financial data on individual computers. We use individual credentials wherever possible, request read-only bank access when available, and follow least-privilege access throughout the engagement.

Do I lose control of my books?

No. The file stays in your name and you keep full access. If you leave, you leave with everything.

What if my books are behind?

Cleanup comes first. See cleanup and catch-up.

Do you work with clients outside Florida?

Yes. Offices in Tampa and Lake Mary, clients across the US.
